Legally effective cancellations are no longer possible once a booking has been completed. Participation fees are non-refundable, except in the case of an official visa refusal as expressly set out below.
Cancellation by the Registrant
Any notice of cancellation must be submitted in writing (e.g. by email).
If a registrant is unable to attend the event for any reason, they may nominate another person from the same institution or organisation to attend in their place, subject to prior arrangement with the organiser.
A substitute participant may be designated no later than 48 hours prior to the event at no additional cost.
Visa Applications and Visa Support Letters
Registrants who require a visa to attend the event must first complete their event registration and pay the applicable participation fee in full.
Once payment has been received, the registrant may request a visa support letter from the organiser. Visa support letters will only be issued to fully registered participants whose participation fee has been received in full.
The visa support letter serves solely as confirmation of registration for and intended participation in the event. The organiser cannot influence the visa application process and does not guarantee that a visa will be granted.
Registrants are responsible for submitting their visa application correctly, completely and sufficiently in advance of the event, taking into account the processing times of the relevant embassy, consulate or other competent authority.
Exception for Visa Refusal
An official visa refusal is the only exception to the general non-refundable ticket policy.
If a registrant's visa application is officially refused, the participation fee will be refunded provided that all of the following conditions are met:
The organiser reserves the right to request additional documentation reasonably necessary to verify the visa refusal.
No refund will be granted if the registrant failed to apply for the visa sufficiently in advance, submitted an incomplete application, failed to provide documentation required by the competent authority, withdrew or abandoned the visa application, failed to attend a required visa appointment, or is unable to provide official evidence of the visa refusal.
A visa application that is still pending at the time of the event does not constitute a visa refusal and does not entitle the registrant to a refund.
Except for the Visa Refusal Exception described above, participation fees are non-refundable.
Cancellation or Changes by the Organiser
The organiser is entitled to cancel the event at any time:
Instead of cancelling the event, the organiser may decide to change the date and/or location of the event.
In that case, the registrant will be entitled to cancel their ticket by notifying the organiser in writing within 8 calendar days after receiving notice of the change. The general non-refundable ticket policy set out above remains applicable.
In case of cancellation or a change of the date and/or location of the event, the registrant shall not be entitled to damages.
Force Majeure and Unforeseen Circumstances
If the organiser has to shorten or cancel the event after it has started due to force majeure or unforeseen circumstances that are not caused by the organiser, the registrant shall not be entitled to damages.
If the event does not take place for any reason other than those mentioned above, the registrant shall not be entitled to damages.
Travel and Other Costs
The organiser is not responsible for travel, accommodation or other costs incurred by the registrant in connection with attending the event.
Registrants are advised to book appropriate travel cancellation insurance, as potentially incurred costs are not covered by the organiser.
This Cancellation Policy is valid from August 13, 2026.
Only ONE (1) discount may be applied to an individual registration.

All attendees of the ATDs (including organizers, speakers, exhibitors, participants etc.) are to read, accept and follow the Code of Conduct. For more information please see Code of Conduct.
Invoicing and Payment
After your registration you will receive an email with the invoice attached. This email serves as official registration confirmation.
If you did not select credit card payment, you find the applicable payment information on the invoice. All payments are due within 2 weeks after purchasing the ticket, at the latest 48 hours prior to the event.
Cancellation Policy
Online Pass tickets are non-refundable.
Online Pass tickets are not transferable to other people.
The organizer is entitled to cancel the event at any time:
- In case of force majeure.
- In case the event is economically not viable.
- In case of unforeseen circumstances which disturb the contractual balance, provided that these unforeseen circumstances are not caused by the organizer; Instead of canceling the event, the organizer may also decide to change the date and/or location of the event. In that case, the registrant will be entitled to cancel his registration in writing and within 8 days after receiving the decision of the organizer to change the date and/or location of the event.
- If the organizer has to shorten or cancel the event after it has started due to force majeure or unforeseen circumstances that are not caused by the organizer, the registrant shall not be entitled to any damages whatsoever.
- If the event does not take place for any other reason than above mentioned reasons, the registrant will not be entitled to any damages whatsoever other than the refund of the price paid minus a 10% administration fee.

The ATDs are held in a public space, therefore we do not prohibit participants, exhibitors, sponsors, and other companies from photographing or video or audio-taping some conference activities. The ATDs reserve the right to use images taken at the conference with your photograph and/or likeness in future marketing materials.
